As the business grows, we are seeking an Executive Assistant to provide high-level support to the Founder. This role is ideal for someone who thrives in a fast-paced, entrepreneurial environment and enjoys wearing multiple hats.
Role Overview
The Executive Assistant will act as the right hand to the Founder, ensuring smooth day-to-day operations through scheduling, communication management, and client onboarding support. This individual will play a critical role in helping the business stay organized, responsive, and client-focused.
Key Responsibilities
- Scheduling & Calendar Management
- Manage the Founder’s calendar, prioritize meetings, and ensure smooth scheduling across time zones.
- Proactively resolve scheduling conflicts and ensure preparation for key meetings.
- Email & Communication Management
- Monitor and organize the Founder’s inbox, flagging urgent items and drafting responses as needed.
- Maintain professionalism and client-first tone in all communications.
- Client Onboarding & Support
- Coordinate the client onboarding process including scheduling discovery calls, sharing documentation, and setting up accounts in project management tools.
- Serve as a point of contact for new clients, ensuring a smooth and professional experience.
- Task & Project Prioritization
- Assist the Founder in prioritizing daily and weekly tasks.
- Maintain follow-up systems to ensure deadlines and commitments are met.
- Document & File Management
- Assist with preparing presentations, proposals, and reports.
- Organize digital files, contracts, and client documentation.
- Operational Support
- Support with vendor coordination, expense tracking, and light research as needed.
- Identify opportunities to streamline workflows and improve efficiency.
Qualifications
- Proficiency in office software and tools
- Bachelor’s degree in Business Administration or related field is a plus
- Proven experience as an Executive Assistant, Virtual Assistant, or similar role supporting senior executives or business owners.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Comfortable with technology tools such as Google Workspace, Microsoft Office, Slack, Zoom, and project management platforms
- Ability to work independently, exercise discretion, and maintain confidentiality.
- Proactive, detail-oriented, and able to anticipate needs.
- Experience in professional services, consulting, or finance preferred but not required.
